Conference Contractor Positions

We’re hiring for multiple contractor positions at the 2023 conference, all require some advance work prior to the event and responsibilities on-site at the event. Any qualified applicant can apply.
Travel to Kansas City for the event is required.

Official Showcase Production Coordinator

This position will work directly with the conference production coordinator and will manage Official Showcase stages and artists showcasing on their assigned stages.

Compensation Package 

      • Stipend: $1,500
      • Hotel for four nights: $400  (the preference is for FAI to book you in one of the host hotels and pay directly for the room, but there is the option to use the funds towards other accommodations)
      • Flight: $300-$500
      • Conference Badge: $500 
      • Food: meals during shifts will be provided 

Time Commitment

      • Pre-conference: September – January 
        • Anticipated hours: 20-40 hours
      • Conference week: February 1-5, 2023 
        • Anticipated hours: 25-30 hours
        • General Schedule: 4-6 hours training/walk-through Wednesday afternoon; 3 pm to 10 pm Thursday – Saturday: 
        • Arrive by Wednesday morning, February 1, 2023
        • Depart on Sunday, February 5, 2023

Responsibilities

      • Pre-conference:
        • Work with the production coordinator on finalizing stage plots and backline needs for each stage.
        • Advance communication with the artists performing on the two stages they manage. Available to answer questions and provide detailed information. 
      • Conference week:
        • Walk through the hotel on Wednesday to ensure that the stages are set up properly with correct sizes, orientations and backline needs.
        • Assemble stage plot book (FAI to provide binder and printed stage plots and deliver them to the showcase room engineer.
        • Meet with the team daily to discuss the schedule and communicate with the sound engineer lead.
        • Ensure that each room they manage is running on time and troubleshoot any issues with the production team.
        • Meet with the artists one-site to ensure they are prepared to showcase.
        • Support the artist turnover in the showcase room.
        • Collaborate with engineers, emcees, volunteers and college students assigned to stages to have a successful run-of-show.
        • Assist with striking the official showcase stages after the last showcase.

Official Showcase Production Coordinator + Inventory Coordinator + IFMAs Assistant

This position will work directly with the conference production coordinator and will manage Official Showcase stages and artists showcasing on their assigned stages. They are also responsible for tracking the production inventory that is arriving from several vendors in addition to on-site support of the production coordinators of the International Folk Music Awards (IFMAs) on Wednesday night.

    • Hotel for eight nights: $800  (the preference is for FAI to book you in one of the host hotels and pay directly for the room, but there is the option to use the funds towards other accommodations)
    • Flight: $300-$500
    • Conference Badge: $500 
    • Food: meals during shifts will be provided

Time Commitment

    • Pre-conference, September – January 
      • Anticipated hours: 20-40 hours
    • Conference week, Jan 30 – Feb 5 
      • Anticipated hours: 60 hours
      • General Schedule: 9 am – 5 pm Monday-Tuesday; 9 am – 9 pm Wednesday; 3 pm to 10 pm Thursday – Saturday; 9 am – 8 pm Sunday
      • Arrive on Sunday, January 29, 2023
      • Depart on Monday, February 6, 2023

Responsibilities

    • Pre-conference:

      • Attend pre-conference prep meetings for IFMAs.
    • Conference week:
      • Catalog and mark inventory as it arrives and organize it into the correct room placement.
      • Work with volunteers in directing them to deliver the inventory to the correct stage. 
      • Walk through the hotel on Wednesday to ensure that the stages are set up properly with correct sizes, orientations and backline needs.
      • Assemble stage plot book (FAI to provide binder and printed stage plots and deliver them to the showcase room engineer.
      • Assist the International Folk Music Awards production coordinators while on-site. 
      • Meet with the team daily to discuss the schedule and communicate with the sound engineer lead.
      • Ensure that each room they manage is running on time and troubleshoot any issues with the production team.
      • Support the artist turnover in the room.
      • Collaborate with engineers, emcees, volunteers and college students assigned to stages to have a successful run-of-show.
